Why Having a Wedding Planner or Day-Of Coordinator Is a Must for Your Event

When people think about planning a wedding, they often focus on the big things, venue, dress, food, and of course the music. But one of the most overlooked (and honestly, most important) pieces of the puzzle is having a wedding planner or day-of coordinator.

From a DJ’s perspective, I can tell you this clearly:every wedding or event should have one.

The Glue That Holds Everything Together

A wedding planner or coordinator is more than just someone with a clipboard, they are the main point of contact for the entire event.

For vendors like us at GG Entertainment, having a coordinator means:

  • We know exactly who to go to for questions

  • Timelines are clear and being followed

  • Changes are communicated quickly

  • The event stays on track without confusion

Without that person, things can get messy fast.

Keeping Your Timeline on Track

Weddings run on timing, grand entrances, speeches, dinner service, first dances, cake cutting… it all needs to flow.

A good coordinator:

  • Builds a solid itinerary

  • Keeps everyone aligned

  • Makes sure each moment happens when it should

When that timeline is tight and organized, the entire event feels smooth and effortless. When it’s not… people notice.

What Happens Without a Coordinator?

I’ve DJ’d hundreds of weddings, and I’ve seen it all.

I’ve worked with:

  • Amazing coordinators who made the entire day feel seamless

  • Inexperienced coordinators who caused confusion

  • And weddings with no coordinator at all, where I ended up being pushed into that role

And trust me, when there’s no one running the show, things can go sideways.

Here are just a few real situations I’ve experienced:

  • Wrong table settings and missing décor details

  • Seating charts not set up or completely forgotten

  • Timelines running late or completely off track

  • A grand entrance where the bridal party came out in the wrong order and names were announced incorrectly (even though it was pre-planned)

These are the kinds of moments that can easily be avoided with the right person in charge.

At GG Entertainment, we’ve seen firsthand the difference a great coordinator makes. It’s not just about organization, it’s about creating an experience where you, your family, and your guests can fully enjoy the moment.

Because at the end of the day…you shouldn’t be worrying about logistics, you should be celebrating.
